How to Apply as a Wayfair Supplier (and Actually Get Approved)

So you want to become a Wayfair supplier. Great choice. But let me be upfront: Wayfair doesn’t just hand out supplier accounts like candy. Their platform is designed for serious businesses with the infrastructure to deliver quality, consistency, and speed. In this post, I’ll walk you through the exact steps to apply, what documents you’ll need, and what happens behind the scenes once you hit “submit.”
Step 1: Start at the Right Site
There are two important Wayfair URLs you’ll hear tossed around:
- https://sell.wayfair.com/ → This is where you begin your application.
- https://partners.wayfair.com/ → This is the backend supplier portal (once you’re approved).
Don’t confuse them. Sell. Wayfair is where you’ll fill out your initial info and tell Wayfair what kind of supplier you are.
Step 2: Understand What Wayfair Really Wants
Wayfair works with:
- Dropship suppliers (you hold the inventory and ship directly to customers)
- CastleGate participants (you send inventory to Wayfair-owned warehouses)
- Domestic manufacturers (made-to-order & custom products are welcome)
- Brand partners (usually well-known or established in brick & mortar or online retail)
Here’s the kicker: Wayfair favors businesses with experience. If your brand is a household name like KitchenAid or Tempur-Pedic, you’re golden. But if you’re white labeling or distributing, you need to show serious retail experience, warehousing ability, and B2B credibility.
Step 3: Documents & Information You Should Have Ready
Wayfair doesn’t ask for everything upfront, but they do check legitimacy. Here’s what you should have prepared—and many of these fields come directly from the actual application form at sell.wayfair.com:
✅ Contact Information
- First & last name of your primary business contact
- Job title (e.g. Owner, Sales Manager, E-Commerce Manager)
- Valid email address and phone number
✅ Business Details
- Legal business name and commercial address (no residential)
- Country, state, city, and postal code
- State of legal business registration
✅ Logistical & Sales Info
- List of countries with fulfillment centers
- Can you dropship to customers? ✅ Yes / ❌ No
- Can you accept returns? ✅ Yes / ❌ No
- Top online marketplaces/retailers you currently sell on
- Online catalog link or shared Google Drive with images and basic product details – the more professional, the better.
Step 4: Red Flags That Get You Rejected
Wayfair is picky for a reason. They want long-term partnerships, not fly-by-night sellers. Here are the common reasons suppliers get denied:
- No visible retail or e-commerce history
- Residential or virtual office listed as a warehouse location
- Products that don’t align with Wayfair’s categories
- Missing required information or sketchy LLC background
If you look like a shell company or just launched yesterday, chances are you won’t make it past the first review.
Step 5: What Happens After You Apply
Once submitted, Wayfair reviews your application manually. If you pass the sniff test:
- You’ll get an email invite to set up your Partner Home account
- You’ll receive self-setup instructions
Then the real onboarding begins. You’ll need to provide:
- A valid Certificate of Liability Insurance (COI) meeting Wayfair’s set coverage limits
- Your bank account or ACH credentials for payment setup
- Detailed fulfillment information, including:
- Warehouse address(es)
- Hours of operation
- Daily order processing capacity
- Your W9 and full company profile details
- A catalog of your products with images, specs, and pricing
Some technical steps, like EDI/API onboarding, may be completed later, but it helps to start preparing early if you’re planning to integrate via your own system or through a third-party provider.
Quick Note: What Is CastleGate?
CastleGate is Wayfair’s logistics program. Instead of dropshipping, you send your inventory to their fulfillment centers. It comes with perks like 1-day shipping badges and higher merchandising priority, but it also has strict requirements. We’ll go deep into CastleGate in a future post.
